Privacy Policy
Effective date: [Month DD, 2026]
Last updated: [Month DD, 2026]
This Privacy Policy explains how [VELLTRA Supplies LLC] (“TrueGrade,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you visit veltrasupplies.com (the “Site”), place an order, create an account, or otherwise interact with us. By using the Site you agree to the practices described here. If you do not agree, please do not use the Site.
All products offered on the Site are supplied strictly for laboratory research use. Nothing in this policy or on the Site should be read as an offer of products for human or veterinary use.
1. Who We Are
The Site is operated by [VELLTRA Supplies LLC], a [Georgia] limited liability company.
Mailing address: [Street, City, GA ZIP]
Privacy contact: privacy@veltrasupplies.com
2. Information We Collect
We collect information in three ways: information you give us, information collected automatically, and information from third parties.
2.1 Information you provide
- Order and account details. Name, email address, phone number, billing and shipping addresses, company or institution name (optional), order history, and any notes you add to an order.
- Payment details. Depending on the payment method you select, we may receive confirmation that a payment was made, the last four digits of a card, or a transaction reference. Full card numbers are never entered on, transmitted through, or stored by the Site. See Section 5.
- Communications. Messages you send to our support or sales addresses, and any information you include in them.
- Comments and reviews. If you leave a product review or comment, we collect the text you submit, your display name, and your email address.
- Marketing preferences. Whether you have opted in to email or SMS communications.
2.2 Information collected automatically
- Device and connection data. IP address, browser type and version, operating system, screen size, referring URL, pages viewed, time on page, and the approximate location derived from your IP address.
- Cookies and similar technologies. See Section 6.
- Comment metadata. When you post a comment, your IP address and browser user-agent string are recorded to help detect spam.
2.3 Information from third parties
We may receive limited information from analytics providers, advertising platforms, and payment or shipping partners, such as confirmation that an order was delivered or that a payment cleared.
3. How We Use Information
We use the information we collect to:
- Process, fulfill, and ship orders, and send order confirmations and shipping updates
- Issue invoices and confirm receipt of payment
- Create and maintain your account, if you choose to register
- Respond to questions, quote requests, and support tickets
- Send marketing emails or text messages only if you have opted in (Section 8)
- Detect fraud, abuse, spam, and security incidents
- Understand how the Site is used so we can improve it
- Comply with legal obligations, including record-keeping and responding to lawful requests
- Enforce our Terms of Sale and the research-use restrictions that apply to every product
We do not sell your personal information, and we do not use it to make automated decisions that have legal or similarly significant effects on you.
4. Comments, Reviews, and Uploaded Media
When you submit a comment or review, the content, your display name, your email address, your IP address, and your browser user-agent are stored so we can display the review and screen for spam. An anonymized hash of your email address may be sent to the Gravatar service to check whether you have a profile image there; Gravatar’s privacy policy is available at automattic.com/privacy. Once approved, your review and display name are publicly visible.
If you upload an image to the Site, be aware that image files can contain embedded location data (EXIF GPS). Anyone who downloads the image could extract that data. Remove location metadata before uploading.
5. Payments
The Site does not process card payments directly. When you place an order you will choose a payment method at checkout:
- Invoice payment. We send an invoice by email containing a secure link to a third-party payment portal. Any card or wallet details you enter there are collected and processed by that provider under its own privacy policy. We receive only a confirmation of payment and a transaction reference.
- Peer-to-peer or bank transfer. If you pay by a transfer service (such as Venmo, Zelle, or Cash App) or by bank transfer, that provider collects your payment information under its own terms. We see the sender name, the amount, and any note you include.
We retain payment confirmations and transaction references as part of your order record.
6. Cookies and Tracking Technologies
Cookies are small text files placed on your device. We use the following categories:
Essential cookies (always on). These make the Site work: they keep items in your cart, remember your session while you check out, and keep you logged in if you have an account. If you log in, a session cookie lasts two days, or two weeks if you select “Remember Me.” A cookie recording your screen display preferences lasts one year. If you leave a comment, cookies storing your name, email, and website last one year so you do not have to re-enter them.
Analytics cookies. We use Google Analytics (via Site Kit) and may use session-analytics tools to understand traffic patterns and page performance. These providers set their own cookies and may collect your IP address and device information. You can opt out of Google Analytics at tools.google.com/dlpage/gaoptout.
Advertising cookies. If we run advertising, we may use the Meta Pixel and Google tags to measure whether ads lead to visits or purchases and to reach people who have visited the Site. These tools may match your activity to an existing account on those platforms. You can manage ad preferences directly with Meta and Google, and most browsers allow you to block third-party cookies.
Editor cookies. If you have an account with editing privileges and edit a page or post, a cookie storing the post ID lasts one day.
You can delete or block cookies through your browser settings. Blocking essential cookies will prevent checkout from working.
7. Embedded Content
Pages on the Site may embed content from other websites (for example a video or a map). Embedded content behaves exactly as if you had visited the other website directly. Those sites may collect data about you, set their own cookies, and track your interaction with the embedded content, including if you are logged in to an account with them. We do not control those practices.
8. Email and SMS Communications
Transactional messages. When you place an order we send order, invoice, and shipping updates by email, and by SMS if you provided a mobile number for that purpose. These are part of the service and are not marketing.
Marketing messages. We send promotional emails or texts only to people who have actively opted in, for example by checking a box at checkout or subscribing to a newsletter. Message frequency varies. Message and data rates may apply to SMS.
Opting out. Reply STOP to any text to stop receiving SMS, or reply HELP for assistance. Every marketing email includes an unsubscribe link. Opting out of marketing does not stop transactional messages about orders you have placed.
We do not share mobile numbers collected for SMS consent with third parties for their own marketing purposes.
9. How We Share Information
We share personal information only as needed to run the business:
- Service providers who act on our instructions: web hosting, email delivery, SMS delivery, analytics, payment portals, shipping carriers, and customer-support tools.
- Shipping carriers receive your name, address, and phone number to deliver your order.
- Payment providers as described in Section 5.
- Professional advisers such as accountants and lawyers, under confidentiality obligations.
- Legal and safety. We may disclose information to comply with a subpoena, court order, or other lawful request; to enforce our Terms; or to protect the rights, property, or safety of TrueGrade, our customers, or others.
- Business transfers. If we sell or merge the business, customer information may transfer to the successor, who will be bound by this policy until it is updated.
We do not sell personal information and we do not share it with third parties for their own marketing.
10. How Long We Keep Information
- Order records (including name, address, items, and payment confirmation): at least seven years, to meet tax, accounting, and product-traceability obligations.
- Account data: until you delete your account or ask us to delete it. Some order records are retained after deletion as described above.
- Comments and reviews: indefinitely, so follow-up comments can be recognized and approved automatically, unless you ask us to remove them.
- Support correspondence: up to three years after the matter is closed.
- Analytics data: according to the retention settings of the analytics provider, generally 14 to 26 months.
- Marketing consent records: for as long as you remain subscribed, plus a record of your opt-out.
11. Your Rights and Choices
Access, correction, deletion, and portability. You may request a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or ask for it in a portable format. We will honor these requests except where we are required to keep the data for legal, accounting, or security reasons.
Marketing opt-out. See Section 8.
Cookies. See Section 6.
California residents. Under the California Consumer Privacy Act, you have the right to know what personal information we collect and how it is used and shared, to request deletion, to correct inaccurate information, and not to be discriminated against for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising as those terms are defined under California law, except to the extent advertising cookies described in Section 6 may qualify; you may opt out of those through your browser or by contacting us. To exercise any right, email privacy@veltrasupplies.com with “California Privacy Request” in the subject line. We will verify your identity by matching the details you provide against our records.
Other U.S. states. Residents of states with comparable privacy laws may exercise equivalent rights using the same contact.
Visitors outside the United States. The Site is operated from the United States and intended for U.S. customers. If you access it from elsewhere, your information will be transferred to and processed in the United States.
We will respond to verified requests within 45 days.
12. Password Reset Emails
If you request a password reset, the email we send will include the IP address from which the request was made, so you can tell whether the request came from you.
13. Security
We use HTTPS across the entire Site, host on infrastructure with automated backups and malware scanning, restrict administrative access, and never store full payment card numbers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by applicable law.
14. Children
The Site is intended for adults purchasing research materials on behalf of laboratories, institutions, or their own qualified research. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
15. Research Use Only
Every product sold on the Site is intended solely for in-vitro laboratory research and analytical purposes. Products are not drugs, foods, cosmetics, or supplements and are not intended for human or veterinary use, diagnosis, treatment, or consumption of any kind. Placing an order confirms that you are a qualified purchaser and accept our Terms of Sale, which contain additional representations regarding intended use.
16. Changes to This Policy
We may update this policy from time to time. The “Last updated” date at the top will change, and for material changes we will post a notice on the Site or email account holders. Continued use of the Site after a change means you accept the updated policy.
